Responsibilities:
- Provide high-level administrative support to executives, ensuring seamless daily operations.
- Manage complex calendars, schedule meetings, and coordinate appointments with internal and external stakeholders.
- Prepare, proofread, and edit correspondence, reports, and presentations using Microsoft Office Suite.
- Handle confidential documents, maintain organized filing systems, and ensure data security.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Process expense reports, manage budgets, and track invoices for executive approval.
- Serve as the primary point of contact for executives, managing calls, emails, and inquiries professionally.
- Plan and execute company events, board meetings, and leadership offsites.
- Assist with project management by tracking deadlines, deliverables, and cross-departmental collaboration.
- Streamline office processes and administrative procedures to improve efficiency and effectiveness.
Requirements:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- 3-5 years of experience as an Executive Assistant, Administrative Coordinator, or Office Manager.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Exceptional organizational and multitasking skills with attention to detail.
- Strong verbal and written communication skills, with the ability to interact with senior leadership and external partners.
- Ability to handle confidential information with discretion and professionalism.
- Experience in travel coordination, event planning, and expense management.
- Problem-solving mindset with the ability to anticipate needs and proactively address challenges.
- Familiarity with scheduling tools, document management systems, and office technology.
- Ability to work independently and thrive in a fast-paced, high-pressure environment.
